Keelvar

Overview: AI-native sourcing platform specializing in advanced sourcing optimization and autonomous sourcing bots. Headquartered in Cork, Ireland (founded 2012; CEO Alan Holland). Named in the 2026 Gartner Market Guide for Sourcing Applications (March 4, 2026) as the only representative vendor in both the Advanced Sourcing Optimization and Autonomous Sourcing categories; also validated in Hackett’s Fall 2026 SolutionMap. Strongest in logistics/freight and complex, high-volume tenders. Raised $43M in total (Series B of $24M led by 83North, May 2022). Customers include Coca-Cola, Maersk, Mars, Siemens and Caterpillar; claims 150+ multinationals and $100bn+ spend optimized annually.


1. Deployment models Cloud-only SaaS hosted on AWS (Dublin, eu-west-1) with multi-availability-zone configuration and a separate disaster-recovery datacenter. No on-premise or hybrid option. Can run standalone or as a sourcing extension to an existing S2P suite (e.g., SAP Ariba, Coupa).

2. Data model — unified or modular/siloed Single sourcing platform with four modules sharing one data model: Sourcing Optimizer, Autonomous Sourcing, Rate Manager (centralized supplier rate storage, launched March 2025) and the Kai AI orchestrator. Scope is limited to sourcing (source-to-award) — contracting, purchasing and invoicing records live in the customer’s S2P/ERP systems.

3. Technology stack RESTful API backend with a combinatorial optimization engine for scenario modeling across thousands of line items. Kai (November 2025) is a multi-agent orchestrator. The underlying LLM provider is not publicly disclosed.

4. Uptime/SLA guarantees No public uptime percentage or status page. SLA terms are contract-defined. Keelvar cites a 1.1-hour average support resolution time, nightly database snapshots and multi-AZ failover.


5. AI/ML capabilities — native vs bolted on Native. Built on optimization and ML; sourcing bots automated repeatable RFx events before the GenAI wave (e.g., air freight bot, 2021).

6. Generative AI support Yes:

  • Kai: natural-language intake that turns a plain-language request into a structured bid sheet and a launched event from a single prompt.
  • GenAI formula and scenario builder for optimization scenarios.
  • AI bid sheet configurator, and intake from uploaded documents.
  • AI-driven supplier recommendations and strategy/event-setting suggestions.

7. Agentic/autonomous workflow layer Yes — core differentiator. Autonomous Sourcing runs events end to end (supplier invitation, bid collection, scenario analysis, award recommendation). Kai orchestrates specialized agents, including the Optimal Close Agent (ML picks the best moment to close an event) and the Autonomous Rate Refresh Agent (re-tenders when contracted rates expire or drift past benchmarks). Customers report 80–90% automation (Siemens, Caterpillar).

8. AI in supplier/vendor evaluation and scoring Multi-criteria bid evaluation and award optimization across price, capacity, risk, sustainability and contract terms. AI supplier recommendations. There is no native supplier risk or performance-management module.

9. Predictive analytics Limited to sourcing: ML-driven event close timing, rate benchmarking against market and contract rates, and savings scenario modeling. No broad spend forecasting or supply-risk prediction.

10. AI feature update frequency and public roadmap Active release pace: Rate Manager (March 2025), Kai with agents (November 2025), new GenAI builders in 2025–2026. No public roadmap.


11. ERP and financial system integrations SAP Application Extension Partner. Keelvar has an API integration with SAP Ariba (event triggered in Ariba, optimized in Keelvar, award returned to Ariba Contracting), plus integrations with Coupa, Oracle, SAP S/4HANA, TMS platforms and P2P systems.

12. Open API Documented REST API for system integrations. Public developer portal depth is not disclosed.

13. SSO and identity/auth standards SSO via SAML 2.0 or OpenID Connect, Azure Entra ID/Active Directory support, and TOTP-based MFA. ISO/IEC 27001:2022 and ISO/IEC 27701:2019 certified. GDPR/CCPA compliant.

15. RFx types supported RFI, RFQ, RFP, multi-round negotiations and hybrid events. eAuctions: English (reverse), Dutch and Japanese. Also expressive/combinatorial bidding with advanced award optimization, which is Keelvar’s specialty for freight lanes, direct materials, packaging, MRO and services.

16. Compliance and audit trail Full audit trail across sourcing events, with configurable approvals and role-based access. ISO 27001/27701 certified. Public sector tendering compliance (e.g., EU directives) is not a stated focus.

17. Configurability — custom workflows, scoring criteria, approval hierarchies Highly configurable bid sheets, scoring formulas, constraints and award scenarios. Autonomous workflows can be set up by category. Reviewers note that advanced configuration often needs a Keelvar analyst.


18. Known gaps and limitations

  • Sourcing-only scope — no native intake beyond sourcing requests, CLM, purchasing/PO, supplier management, invoicing or payment. It relies on host S2P/ERP suites for everything downstream of award.
  • Steep learning curve. G2 reviewers say advanced settings are hard to configure without an assigned Keelvar analyst, and features are spread across different areas of the tool.
  • Reviewers ask for more filtering, reporting and bulk-editing options to manage large bid volumes, and flag manual steps such as exporting awarded rates and archiving unawarded carriers.
  • Thin public review base (about 10 ratings on Gartner Peer Insights at 4.4/5, and no Capterra reviews), so independent validation is limited.
  • Pricing not publicly disclosed; enterprise-tier, less SMB-accessible.
  • Single-region hosting (AWS Dublin) may not satisfy strict data-residency requirements outside the EU.
  • Smaller vendor ($43M raised, no disclosed funding since 2022) vs. S2P suites whose native sourcing agents (e.g., Coupa Navi, SAP Joule) increasingly overlap.
